Important Information and Guidelines for Your Adventure

Regulations for The Carpathian Adventure 2025

1. BOOKING

For Booking to The Carpathian adventure week you have to complete the Entry Form only in electronic way in the Event website.
To validate your booking you need to pay entry fee tru the link send to you.
The entries are limited to 75 motorcyles.
With the booking the rider assumes:

  • all the information given in the Entry Form is correct.
  • accepts the Terms & Conditions rules and financial conditions of The Carpathian Adventure week.
  • he is fit and healthy enough to participate in the event and accepts the risks of an offroad event, including personal injury, illness, inconvenience, and discomfort and accepts them, and accepts that they could produce unforeseen events.

2. CANCELLATIONS BY THE RIDER:

To validate your Registration you have to make the payment of €1950,00
For cancellations after 30 April 2025, there is no refund.
For cancellation before 30 April 2025, administrative fee of €150,00 will be retained and all the bank transfer fees will be paid by the rider.
There are no exceptions to this cancellation policy.

3. CANCELLATIONS THE CARPATHIAN ADVENTURE WEEK ORGANIZATION

We reserve the right to cancel the Event before departure for any reason. In the event of cancellation, a full refund will be issued to the participant.
In the event that, prior to departure, we make any significant changes to the route or to hotels, we will, as soon as reasonably possible, notify you of available alternatives.
Cancellation due to a Force Majeure will hold the right to the Organization to keep all the deposits or payment done by the participant and transfer it in full to the new scheduled date.

4. TIMETABLE

From the first arriving day and every ride day there is a strict Timetable that the participant must follow.
Excessive delays or lack of care may include the participant to withdraw from a day or from the entire Event.
Such schedules are described on the TimeCard of every day. 

5. RESCHEDULING

The Carpathian Adventure week organization reserve the right to change the time or the location of the day plan in case of weather conditions, hotel or bivouac location or other unpredictable causes make impossible the realization of a pre-scheduled program. 

6. ADAPTABILITY

You understand that the amenities, lodgings, type of transport, route, schedule, and itinerary may change without prior notice due to local circumstances or events, which may include mechanical breakdown, flight cancellations, illness, strikes, political disputes, weather, border crossing problems, and other unforeseeable factors.

7. ARRIVING TO START

It is your responsibility to be ready to go to Sibiu for the starting of the Event, at the specific departure day and time.  We are not responsible for any losses due to canceled or missed flights, changed flight itineraries, late arrivals, or early departures.

Compliance with Local Laws: Your additional responsibilities include, but are not limited to, strictly complying with all local laws, respecting customs and culture, assessing your abilities, respecting other trip members’ privacy, and if on a guided trip following the suggestions and advice of the organization.  The decision of the Event Direction or local supplier is final on all matters that may threaten the safety or interfere with the well-being of the group or individual riders.

Tour Etiquette: During the tour, we have the right to remove anyone who we a) judge to be incapable of meeting the rigors and requirements of participating in the tour activities; or b) determine to detract from others’ enjoyment of the tour.

8. DIFFICULTY LEVEL

It is the customer’s responsibility to verify the degree of difficulty of the program that fits and whether it is appropriate to their capacities. Organization clarifies all the doubts and questions during the application and briefings but cannot be held responsible for the fact that the participant does not have the skills or physical condition to complete the activity.

9. NAVIGATION

The navigation during The Carpathian Adventure week is done by GPS.
You have to have you personal GPS Garmin or Smartphone installed on your vehicle.
Minimum number of points in one day track is 2000 points. Please be careful that you device have the ability to read this number of points. That tracks will be loaded on your device the evening before the start.
If you device is damaged or obsolete, the Organization does not take any responsibility if the files can not be transferred in you device or are transferred truncated or damaged.

10. PHYSICAL REQUIREMENTS

The demands of The Carpathian Adventure week require moderate skills and physical conditions. Good physical and mental conditions are essential for the enjoyment and safety of our the event. By agreeing to these Terms, you certify that you do not have any physical or mental health condition that would create a hazard for you or other Participants or affect other people’s enjoyment of the event.

11. SAFETY

We always give priority to the safety of all people involved in The Carpathian Adventure week, riders, staff members or anyone who assists in organizing the activity. The equipment used in the events are approved and when the work requires is provided specific personal protective equipment. Track Assistants are trained in first aid or mechanical assistance. The rider of  the event should respect the decisions and directions of the Staff.

12. ACCOMMODATION

The locations and hotels chosen by organization are carefully selected according to the characteristics of prepared routes are chosen based on proximity of the route, often the only option available. We favor sites that have a character and a special atmosphere, either by location, comfort, friendliness of the owners, or the rustic way they integrate into the landscape in order to provide a pleasant stay, adequate rest and activity. However, this is not always possible and sometimes to maintain the integrity of the route we choose the best opportunity available.

Given the limitations in the choice of accommodation for those traveling alone, there is not always available accommodation in single rooms, which is often necessary to share double rooms with other participants.
The accommodation is based on twin room configuration.
Single rooms are possible but not a guarantee and with an extra cost.
Since these routes are designed mostly in rural and natural areas, participants  must accept that sometimes the type of accommodation can’t be chosen as we wish. Anyway, it is intended that any accommodation guarantees the best choice in town or village where the event chooses the bivouacs. 

13. FOOD and DRINKS

We choose the best and most typical restaurants in the places where we stay-inn, thinking about the gastronomic satisfaction of our customers. Breakfast and dinner are always with a fixed menu but with many choices so you can choose a meal that suits you. If there is any specific need/restriction in your diet let us know when you confirm the trip so that we can satisfy you better.
Lunch every day is specified in the GPS track.

Drinking alcohol while driving is strictly prohibited in Romania.

14. ASSISTANCE AND LOGISTICS

Transport of baggage or cases between hotel to hotel every day is done by the Organization. The rider must have the luggage ready before the start and put it in the designated place.
We recommend to never put in the luggage to be transported transport values such as money, credit cards, personal documents (identity card, airline tickets, etc.). Or any other document that its loss can lead to complications in the normal course of the journey. The organization is not responsible for the failure of this recommendation.

Do not put fragile objects in soft bags. The client must inform the organization if he has some object fragile and packs it properly.

It is the participant’s responsibility to always have with him all the personal documents when is necessary to show them.

15. INSURANCE

Organization strongly recommends participants to obtain travel insurance that covers Romania and this insurance must cover personal injury and emergency medical expenses. It is strongly recommended the coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience occurring to the Client.

Organization shall have no liability for loss, theft of or damage to baggage or personal effects. Losses due to ordinary wear and tear, and other acts of God are not reimbursable. Organization cannot accept responsibility for and in no event shall be liable for loss or damage of valuables or other articles left in or on facilities used by the Event such as hotels, homestays, vessels, expedition vehicles, or any other mode of transportation. When obtaining travel insurance the Client must ensure the insurer is aware of the type of travel to be undertaken.

16. PERSONAL REQUIREMENTS

Our mission is to provide you the best vacation, so we will do everything to meet any special needs.
Just inform us in advance as possible.

17. USE OF IMAGES AND VIDEOS

Any client’s image, captured by the photographers or Organization Staff at any of our activities, can be used by Organization, in the illustration of promotional material and advertising companies such as brochures, slides, videos, and the Internet or social media media.

18. COMPLAINTS

If you encounter any issue during your tour, you must promptly notify the Head of Organization and they will do their best to assist you to resolve the matter. Failure to notify us immediately may forfeit or reduce your ability to claim any future compensation or refund. Further, if you make any changes on your own without notifying us, as described above, you shall assume sole responsibility for any added costs you may incur and forfeit any potential refunds. 

19. RESPONSIBILITY-LIMITATIONS

Organization and all its staff, act only in the capacity as an agent for the hotels, airlines, bus companies, railroads, ship lines, and/or any Supplier providing accommodations, transportation or other services to the Participant. The Participant is advised that Organization purchases such as transportation, hotel accommodations, meals, and other services from various suppliers who are not affiliated with the Organization. We make every effort to select the best suppliers of the aforementioned services, however, we does not control the operations of these agents and as a result, CANNOT BE HELD LIABLE FOR ANY PERSONAL INJURY, PROPERTY DAMAGE OR OTHER CLAIM which may occur as the result of any and/or all of the following: (1) the wrongful, negligent or arbitrary acts, errors or omissions on the part of the independent Supplier, its agents, its employees or others who are not under the direct control or supervision of The Organization; (2) defects or failures of any vessel, aircraft, vehicle or other instrumentality which is under the control of an independent Supplier; or (3) loss, injury or damage to person, property or otherwise, resulting directly or indirectly from any Acts of God, dangers incident to the sea, fire, breakdown in machinery or equipment, or wars (whether declared or not), hostilities, civil disturbances, strikes, riots, thefts, pilferage, medical epidemics, quarantines, or customs regulation, defaults, delays or cancellations or alterations in itinerary due to schedule changes, or from any causes beyond Organization’s control.

You agree that the sole remedy for any default by The Organization arising under these Terms shall only be the return of the paid tour cost. To the maximum extent permitted under applicable law, The Organization shall not be liable for any special, consequential, indirect, incidental or other damages arising out of these Terms, including lost profits, whether such damages arise in contract, negligence, tort, under the statute, in equity, at law, or otherwise, even if The Organization has been advised of the possibility of such damages. You expressly waive any right it may have to recover such damages. The foregoing shall not apply to Organization’s gross negligence or intentional misconduct.

20. UPDATING OF TERMS AND CONDITIONS

We reserve the right to update and/or alter these terms and conditions at any time, and it is your responsibility to be familiar with them.

21. RESOLUTION OF DISPUTES

This Agreement is governed by the laws of Romania. You agree that any dispute concerning, relating, or referring to this Agreement, tour brochures, or any other materials that concern the tour, or the tour itself — whether such dispute arises in contract or in tort or otherwise — shall be litigated and determined, if at all, exclusively before a court of the Judicial District of Sibiu, Romania.

22. DISCLAIMER

Travel is an adventure for those who enjoy adventure travel is indicated for active and adventurous feel good with the discovery and the unexpected! Provide unique moments of conviviality, more direct contact with nature, good humor, and camaraderie, yet has very specific characteristics that can jeopardize your satisfaction. So we recommend that you inform yourself carefully about the degree of difficulty of the program intended to ensure that you have the physical and psychological level sufficient to participate. Do not hesitate, put all your questions! They can also occur in unexpected routes developed, changes to the environment, or unforeseen adverse weather conditions may necessitate changes in the program during the trip. Participants should have a positive outlook and be flexible enough to face these changes in a pleasant way.
